Job Summary
The Coordinator, Group and Member Sales, serves as a key point of contact for important Eastern State constituencies: group sales customers and membership donors. The coordinator will divide their time between selling and managing group tours and selling individual and library memberships and managing those relationships. The coordinator will process and service group and member requests and respond to general inquiries.

  • Group Sales: Assists all sales-related activities for daytime, evening, Halloween Nights and facility rentals groups. Maintains positive existing client relationships as well as cold calling, prospecting, building new relationships and attending networking events. Represent ESP at various tradeshows and conferences as needed. Hires, trains and supervises a team of Halloween Nights Seasonal Guest Support Assistants.
     
  • Group Client Relations: Maintain contact with scheduled groups throughout the booking process. This includes corresponding with group planners, confirming bookings, coordinating payments and feedback. Maintains accurate and up to date client records in the ticketing database. Cultivates strong relationships with key group sales clients. Work together with the Operations, Visitor Services and Education team to quickly and efficiently resolve any group difficulties or issues on the day of their visit.
     
  • Membership Program: In concert with the Advancement Team, coordinate the revitalization of the ESP membership program, working with the Marketing and Frontline Teams as needed. Ensure delivery of member benefits, answer questions and troubleshoot issues. Identify possible prospects for further cultivation as major donors. Evaluates effectiveness of current membership program services, benefits, and policies, relating to retention and acquisition of members on a regular basis. Recommends, designs, and implements changes to improve effectiveness and efficiency.
     
  • Coordinate Membership Promotions and Events: Work with the Advancement and Marketing teams to develop member promotions, events, benefits and member communications. Assist with member events and other Advancement activities as needed and as time allows.


Qualifications

Required Skills/Abilities:

  • Candidate must demonstrate exceptional writing ability and excellent communication and organizational skills. Experience working in a fast-paced, results-oriented environment and demonstrated flexibility in meeting shifting demands and priorities is a must.
  • Must be highly organized and able to closely coordinate shared and independent tasks with colleagues. Superior organizational skills and attention to detail as well as creative writing, proofreading, and editing skills are preferred. Must be comfortable working under firm deadlines. Ability to maintain composure and communicate pleasantly and effectively with supervisor, other staff, and the general public are also necessary.
  • Must be able to maintain full confidentiality of any and all conversations, data records, files and other information where access is limited. Creativity and initiative are also important. Proficiency in Microsoft Office programs is required; familiarity with Ticketure Ticketing System or similar ticketing/CRM system. Raiser’s Edge, Constant Contact, and Adobe Acrobat is an advantage.
  • Ability to provide pleasant, professional, customer focused service to a diverse constituency of visitors from a wide range of ages, backgrounds and interests.
  • Due to the nature of the position, there are times of the year when the Coordinator may need to work nights or weekends. This will be determined in advance with your manager. Examples include Halloween Nights, Summer Nights, etc.


Education and Experience: 

  • Requires a bachelor’s degree in and with 2+ years of sales or marketing experience required in attraction, museum, or similar venue. Knowledge of Philadelphia and the tourism industry.
  • Demonstrated ability to exceed sales targets and through group sales and partnerships.
  • Ability to develop relationships with customers that grow beyond the initial member or group interaction.
     

Physical Requirements:

  • Eastern State Penitentiary Historic Site is a stable ruin and working conditions can vary greatly from area to area; surfaces are uneven, temperatures can range widely and spaces can be tight.
  • Ability is required to lift and/or carry objects that weigh up to 30+ pounds without the aid of lifts or other special equipment when managing deliveries and supplies.
  • Prolonged periods of sitting at a desk and working on a computer

  • Salary Range: $48,000 - $52,000
